Job SummaryTo provide Mail Operations Center (MOC) customer service and engage with employees and suppliers. Processes incoming and outgoing mail and parcels in a timely, systematic, and professional manner. Record detailed courier activity using an inbound tracking software program of items received. Maintain detailed records of all mail and parcels, providing reports as requested and responding to status inquiries. Manage secure off-site storage of National Capital Region (NCR) physical records using the Corporate Records Management System (CRMS).

Key Accountabilities:
Receive courier services packages (mail and parcels), enter package and delivery information into a tracking software program for reference and distribute as required.
Engage with employees to process mail and parcel requests, obtaining required package and delivery information.
Organize and timely delivery of mail and parcels to employees and company departments, recognizing the inclusion of time sensitive and confidential packages, while ensuring secure delivery.
Process mail and parcels utilizing the most cost effective and efficient method, including documentation for Customs, ensuring proper postage, and familiarity of which courier to use in certain circumstances.
Administer the secure off-site storage of National Capital Region (NCR) physical records using the Corporate Records Management System (CRMS) to verify information, request, charge-out, deliver and return boxes, files, folders to and from off-site supplier.
Communicate with courier services to coordinate pick ups and setting schedules.
Provide a secure location and proper handling of sensitive items to be delivered to NAV CANADA employees. (e.g. cheques, file records).
Scan documents and email them to various departments and employees.
Keep mailroom space organized and tidy.

Experience:
Knowledge:
Broad knowledge of Canada Post regulations
Knowledge of mailroom processes and procedures
Knowledge of International mailing and shipping processes (Customs, Transportation of Dangerous Goods, etc.)
Working Knowledge of CRMS for records management
Working Knowledge of Off-site Storage Vendor to back up Lead Operator
Working knowledge of Microsoft Office Suite.
Abilities:

Analytical skills and techniques applicable to a mailing/shipping environment.
Excellent organizational skills to effectively manage conflicting priorities.
Communication skills, including the ability to interact with management.
